Tennis Club Constitution
1) The club’s objective
shall be to facilitate the playing of tennis by all, regardless of age,
ability, disability, gender, race, ethnicity, religious belief, sexuality
or social/economic status.
2) The club will be managed through the club committee, consisting of
the Club Chairperson, Secretary, Treasurer, Fixtures Secretary, Team Captains
(including junior captains), Head Coach, Mini Tennis Coach, Child Welfare
Officer and up to six other club members elected by a ballot of adult
club members at the annual general meeting. The committee shall elect
its own chairperson who may be the club chairperson. Decisions will be
made by a majority vote with the chairperson having an additional casting
vote where necessary. Fourteen days notice shall be given of committee
meetings.
3) Team Captains shall have complete responsibility for the organisation
of match practices and team selection.
4) No person shall be eligible for club membership until the club treasurer
or an authorised deputy has received his or her application and appropriate
subscription. Subscriptions shall be fixed at the annual general meeting
and paid by April 30th each year. Thereafter subscriptions are due by
the end of the third week after a potential member begins playing at the
club. Non-playing club members shall pay one third of the full adult subscription.
5) The club committee shall have the power to suspend or expel any member
guilty of misconduct but before doing so the member concerned shall be
given the opportunity to attend a committee meeting to explain their conduct.
6) Any casual vacancy among club officials shall be filled by the committee,
such appointments to last only until the next general meeting.
7) A special general meeting shall be called by the secretary upon the
request, in writing, of ten full adult club members. Fourteen days notice
shall be given of the meeting, which must be called within one month of
the receipt of the request. The notice shall set out the specific business
of the meeting.
8) The club will maintain an effective child welfare policy and appoint
annually a child welfare officer who need not necessarily be a playing
club member.
9) The club’s financial year shall end on December 31st and the
AGM shall be held not later than March 31st in the following year. Fourteen
days notice shall be given in writing to all members. All decisions to
be made by a majority vote of adult club members with the club chairman
having an additional casting vote if necessary. Every candidate for an
office of the club must be an adult club member (with the exception of
the child welfare officer), and shall be proposed and seconded by two
adult club members.
10) The accounts of the club shall be presented at the AGM and have been
audited by an auditor appointed at the previous AGM.
11) Alterations to the constitution of the club shall be made only at
the AGM or at a special general meeting called for that purpose.
12) The playing season shall run from May 1st to April 30th each year.
Finally the
club is affiliated to the Lawn Tennis Association and will implement all
of their rules, policies and codes of conduct.
